How to manage a difficult conversation?

In the course of my career over the years handling teams of various departments, people management  became my forte while experiencing many instances which needed agility in communication.

Here are few pointers…

If you can help it thoroughly prepare yourself  with research so that you are prepared to handle any objections well.

Try to choose when and where to have a difficult conversation.

Always start with a positive mindset and speak with concern without blaming .

Make sure you are clear about what you want to communicate.  And deliver your stance  clearly  without any ambiguity.

Speak in the right tone as per the situation.

Listen actively well to acknowledge  emotions and  understand so you can respond than react.

If there is too much tension or another impasse it is alright to pause, take a  short timely break to diffuse tension and then recoup

Be focussed on what you wish to communicate and steer the conversation if it veers off topic.

Be open to alternatives and  perspectives and see if you can  find common ground to stay flexible to foster collaboration.

Resolve issues find win win solutions & clear issues.

Do you remember  any instances of  difficult  conversations you have had? How did you manage it?

On Speaking

An essential skill in any job that requires talking & handling people is speaking well and communicating effectively.

Handling challenging questions during a speech can be effectively managed by  a few  practical and strategic ways using conflict resolution techniques.
Get yourself some time to think by
practicing listening actively when a question comes up and then repeating  it in your own words to check if you have clarity on what is asked.
Acknowledge the questions with empathic voice and body language can  ease and reduce tensions and help  build the flow of  communication.
Get yourself back into the arena
by reframing the questions to align with your context.
Using an assertive voice shows command over the context.

Always remembering the goal is not to score a point but or win an argument but to build and sustain a positive and respectful connection.

On Communication

On Miscommunication

Nobody shares to confuse,
but at times the way of understanding and sharing can be confusing.
People are unique in the way they communicate with one another.

Some have oratory skills and make a profound impact in the way they speak, some are deeply introverted and reserved and say less.

Some have keen listening skills and hear to understand and others understand from visual senses. For them it’s about what they see for themselves than what they hear. So they pay lesser attention to sound but more to what they see.

Yet others are deeply intuitive that they sense the signs. They will be sensing beyond the words and vision.

Our unique senses are our biggest gifts but they can be the very reason for many misunderstandings between people.

In professional environment there is no room for errors and it can prove to be a costly mistake when internal and external communications gets misunderstood.

Hence its important to use the right communication channels. This helps align teams around a shared vision. Avoid departmental silos by helping different teams and departments to connect and work together. And ensure that there are developments towards cross-functional teams.

For the truth is, the way we communicate with one another can leave a lasting impression.
